Selling Gift Cards and Gift Orders Without Operational Chaos

Gifting is the one category where the person paying and the person receiving are different, and almost every system in your store assumes they are the same. That single mismatch is where gift orders go wrong: the wrong address, the invoice in the box, the delivery notification going to the buyer's phone instead of the recipient's, the return that nobody can process because the recipient has no account. None of that is a Shopify limitation. It is a design decision nobody made.

Two different things get called gifting

Worth separating because they have almost nothing in common operationally.

Gift cards are stored value. The buyer pays now, the recipient redeems later, and there is no physical fulfilment. Shopify supports these natively and the operational load is low.

Gift orders are physical products shipped to someone other than the buyer, usually with a message, often with different packaging, sometimes timed for a date. This is where the complexity lives, and it is the one most Indian D2C brands actually need during festive season.

If somebody asks you to add gifting, find out which one they mean before scoping anything.

What gift cards solve, and what they do not

Gift cards are genuinely useful and underused. They convert an indecisive buyer, they bring in cash before the product ships, and a meaningful share go partially unredeemed.

What they do not solve is the emotional part of gifting. A gift card is a transfer of choice, which is the right answer when the buyer does not know what the recipient wants and the wrong answer when the whole point was to choose something for them. For most Indian festive gifting, where the object matters, gift cards are a fallback rather than the main product.

Two operational notes. Decide your expiry position and state it clearly, because unredeemed balances are a liability on your books and a trust question for your customer. And treat gift card codes as money: anyone with the code can spend it, so how you deliver them matters.

The gift order problems, in the order they bite

The invoice in the box. The single most common failure. Your packing slip shows what the buyer paid, and it goes to the person receiving the gift. Suppress prices on gift orders or you are telling every recipient exactly what they were worth.

Notifications going to the wrong person. Shipping and delivery updates go to the buyer's email and phone by default, which is often correct, but a surprise gift arriving with a tracking SMS to the recipient ruins it. Decide which notifications go to whom.

The address problem. The buyer is entering an address they may not know precisely. Gift orders have higher failed delivery rates for exactly this reason, and in a COD-heavy market that is expensive. Consider requiring prepayment on gift orders.

Returns by a recipient with no account. Your returns flow expects the person who ordered. A recipient cannot sign in, cannot see the order, and often does not know where it came from. Decide in advance whether you will accept a return initiated by someone who is not the buyer, and how they prove it.

Timed delivery. Customers want it to arrive on the day, and couriers do not guarantee that. Be honest about what you can promise rather than implying a date you cannot hit.

The minimum viable gifting setup

Most of this is configuration and copy rather than development.

  • A gift toggle at checkout, which sets everything else in motion.
  • A separate shipping address, which Shopify handles natively.
  • A message field with a character limit you can actually print.
  • Price suppression on the packing slip for orders flagged as gifts.
  • A notification rule so the recipient gets delivery updates and the buyer gets the receipt, or neither, depending on what you promise.
  • A tag on the order so your warehouse can see it is a gift without reading the notes field.

That last one is the cheapest and most valuable. A gift order that looks identical to every other order in the pick list will be packed identically, and all your careful setup is wasted at the last step.

Why festive season makes all of this worse

Volume is the obvious part. The less obvious part is that your gift orders concentrate into the same two weeks as your highest overall volume, which is exactly when your warehouse has the least slack for special handling.

If gifting is going to be meaningful this season, set it up in September and run real orders through it in October. Discovering the packing slip problem during Diwali week is discovering it too late to fix.

The same logic applies to everything else on your peak checklist, and it is why we keep pointing at testing real orders rather than trusting configuration.

Corporate and bulk gifting is a different business

Worth knowing because it arrives unannounced, usually as an email in October asking for two hundred units shipped to two hundred addresses.

Bulk gifting is not a larger version of consumer gifting. It involves a single payer, many recipients, many addresses, usually an invoice with GST details, often custom packaging or branding, and a delivery window rather than a date. None of that fits a standard checkout, and trying to force it through one produces two hundred separate orders and a very unhappy operations team.

The practical setup is draft orders. Take the requirement over email, build the order in the admin, invoice properly, and handle the address list as a fulfilment job rather than as checkout. That also keeps the stock reserved correctly, which matters when the same inventory is selling on your storefront at the same time.

If corporate gifting becomes a real revenue line rather than an occasional request, it starts looking like a B2B setup rather than a gifting feature.

What to write on the gift message field

A small detail that causes a disproportionate number of support tickets.

Set a character limit that matches what you can physically print, and show the counter. A customer who types three hundred characters and receives a card with a hundred and twenty on it has a legitimate complaint, and it was avoidable in the form design.

Decide how you handle emoji and non-Latin scripts before season, since a message in Hindi or Gujarati is entirely normal for Indian gifting and will break a printing setup that nobody tested for it. Print one of each during your October test run.

And decide who reads them. Messages are written by customers and printed by your team, so somewhere in that chain a human should be able to flag something inappropriate before it goes in a box with your brand on it.

Do gift cards expire on Shopify?

Expiry behaviour and the rules around it vary by region and are a legal question as much as a settings one. Decide your position deliberately, state it clearly at purchase, and check the current rules for India with your accountant, since unredeemed value sits on your books.

How do I stop the price showing on a gift order?

Suppress prices on the packing slip for orders flagged as gifts. Most stores discover this after the first complaint, which is one complaint too late. Test it by placing a real gift order and looking at what actually prints.

Can the recipient return a gift?

Only if you have decided how. Your normal returns flow expects the buyer, and a recipient has no account and no order number. Choose a policy in advance, and give your support team a way to verify a recipient without making them feel accused.

Should I offer gift wrapping?

Only if your warehouse can do it consistently under peak load. Inconsistent wrapping is worse than none, because it becomes visible exactly when the customer is paying attention. If in doubt, offer a message card instead, which is far easier to execute at volume.

Are gift orders more likely to fail delivery?

In our experience yes, because the buyer is entering an address they do not use themselves. Prepayment rather than COD on gift orders removes most of the cost when that happens, which is the same logic as everything in our RTO work.

Get your gifting flow tested

Free review. Email hello@exactwhy.com with subject "Gifting" and tell us what you want to offer this season. We respond within 4 hours with what is configuration, what needs an app, and what your warehouse has to change. Most of the list is not development.

Paid work, Rs 25,000 to Rs 1 lakh. Gift flow at checkout, message handling, packing slip suppression, notification routing, and order tagging so the warehouse can act on it.

Ongoing Shopify development, Rs 20,000 to Rs 50,000 a month. For brands where seasonal operations change several times a year.

The test that matters is simple and almost nobody runs it. Place a gift order to a colleague's address, let it go through your real warehouse, and look at what arrives. Everything wrong with your gifting setup will be in that box.
